1. Documents and keys:
- Consignment note/motorcycle handover form (two copies will be sent to the email address provided in the booking seven days before the scheduled loading).
- Motorcycle key and pannier keys, labelled with your name, surname, registration number and loading town. Please leave these in the ignition and/or lockbox.

2. Photographic documentation:
Upon handover of the motorcycle for transport, photographic documentation of its actual condition will be taken.
3 . Motorcycle Handover Report:
- What it contains and when it is sent
The handover report constitutes the final agreed terms of the transport contract between the parties. Approximately two weeks before the scheduled loading date, we will email you a template of the handover report. This must be printed, completed and signed, and delivered with the motorcycle to the address specified in the contract. The Sender must complete the form in advance. At the loading site, a Transportmotocykli.pl employee will check with the Sender that the details of the motorcycle and luggage have been entered correctly. - How to complete it:
- Personal details: Please enter the personal details of the owner/sender of the motorcycle. First name, surname, and contact telephone number.
- Motorcycle details: please provide the registration number, make and model, and the registration certificate number.
- Dates – the dates for dropping off and collecting the motorcycle in Poland; please double-check the dates for collection and delivery. If your plans have changed and, as a result, the date for collecting or dropping off the motorcycle needs to be altered, please contact us.
- Technical condition/damage to the motorcycle: Please list all current damage to the motorcycle and mark it on the diagram in the designated area. This damage must be indicated when handing over the motorcycle so that detailed photographic documentation can be prepared.

- Luggage: Please state the number of items of luggage being handed over for transport and provide a brief description of the luggage type (e.g. 3 boxes, 1 travel bag).
- Signature – If everything is correct, please sign.
4 . Preparing the motorcycle for transport (mandatory)
- Windscreen – remove, secure and pack it yourself (place it in the luggage or secure it to the passenger seat with stretch film)
- panniers / bags – the central pannier must be removed and secured; side panniers remain on the motorcycle; travel bags must be secured (wrapped in stretch film) and clearly labelled (name, surname, motorcycle registration number)
- fuel in the tank – the fuel tank must be as empty as possible (preferably on reserve due to ADR regulations)
- motorcycle servicing – ensure that no fluids are leaking from the motorcycle
- cleanliness of the motorcycle – the motorcycle must be delivered as clean/washed as possible for transport, both to the destination and for the return journey to Poland
PLEASE NOTE: We can lend tools from our warehouses. However, please prepare the motorcycle in advance in accordance with the guidelines provided. If our staff need to carry out the dismantling service, a fee of PLN 100 will be charged for each assembly/dismantling. 5. Luggage: what you can bring, how to prepare it and how to label it
- Liability
Scratches or damage to trunks, panniers, suitcases or helmets are not covered by insurance. Luggage is transported on the lorry’s luggage rack together with other luggage and loaded with due care. We accept no liability for unsecured items or panniers wrapped only in stretch film. We reserve the right to refuse to transport unsecured luggage. - The price of motorcycle transport includes five items of luggage:
- 1 central top box
- 2 side boxes (replaceable with panniers/bags)
- 1 soft travel bag per person (e.g. for a riding suit, helmet, boots, etc.)
- 1 tank bag/roll bag or other travel bag
Each additional piece of luggage costs: €50
- How should panniers and luggage be packed and secured?
The central pannier should be removed and packed into a cardboard box that fits it as closely as possible. Alternatively, it can be wrapped in bubble wrap, which we will provide during loading in Poland, to prevent scuffs and damage. The side panniers should remain on the motorbike. Do not pack everything into a single box, as this makes loading difficult. Soft travel bags simply need to be wrapped in stretch film. When packing in Poland, you should think ahead about how you will secure and label your luggage for the return journey. It is worth getting some stretch film, adhesive tape, a piece of paper and a pen, and taking these items with you. Unlabelled luggage makes unloading more difficult and delays the timely release of the motorbikes. - Luggage labelling
All luggage and items must be clearly labelled once secured. We do not accept unlabelled luggage. The details must be legible, and the label must be securely attached. Luggage labels should include the following details: – Full name- City of loading in Poland
- Motorcycle registration number
- Number of luggage items (e.g. 1/4, 2/4, etc.)
- Prohibited items for transport:
The following items are prohibited from transport (including in panniers/luggage): fuel, jerry cans, oils, photographic equipment, computers, jewellery, alcohol, drugs and other intoxicating substances, antiques, plants, live or dead animals, cash and documents.


6. Delivery of the motorcycle for transport in Poland
When completing the declaration, the customer specifies the place and date of loading. It is not possible to change this date. Any delivery dates and locations other than those specified must be agreed individually. Individual arrangements are only possible in exceptional circumstances. We reserve the right to charge an additional fee of PLN 200 for this service.
7 . Collection of the motorcycle at the destination
Before loading in Poland, we will contact everyone who has booked transport by telephone. During the call, we will answer any questions and address any concerns. We will also confirm the addresses and loading times. At the collection/delivery point, we will only be available on the agreed date and at the agreed time. If there is a delay or any other sudden changes, it is essential that you contact our staff directly in advance on 690 840 860. If you are delayed unexpectedly, we reserve the right to refuse to hand over the motorcycle at the agreed time. If a member of staff has to return to the warehouse, the customer will be charged 200 PLN for additional logistics. We reserve the right to charge an additional fee for storage.
8. Collection of the motorcycle in Poland after the service
Collection dates are published alongside the offer. When completing the application, you must specify the date on which you will collect the motorcycle from Poland after the trip. Please note that storing the motorcycle in a warehouse incurs an additional charge. If you require a collection date other than the one specified in your application/offer, this must be arranged individually and will incur an additional logistics fee of PLN 200.
Following these instructions will help you prepare and ensure the safe transport of your motorbikes and luggage, while simplifying the logistics process for us.
